How it works
From your sales data to a pay run you can defend
Five steps, the same every period. Administrators run them; salespeople see the result.

How it works
Step by step
What happens between a closed deal and a payment.
Import your sales data
Connect HubSpot with read-only access: closed-won deals and their line items are synchronised every hour. Alternatively, import sales from .xlsx or .csv, with a preview before any data is saved. Sales can also be entered manually.
Set up salespeople and the plan
Add your salespeople, build the plan and its rules without formulas, assign it, and add quotas if a rule depends on attainment. Test each rule on real sales before you activate the plan.
Calculate commissions
Sales imported from a file or entered manually are calculated immediately. Deals from HubSpot are held until an administrator processes them. A sale that cannot be paid enters the reconciliation queue with its reason.
Approve and pay
Create a pay run for the period, review it, approve it and mark it as paid. A paid run locks the period. Commission that arrives later goes into a supplemental payout, and nothing already paid can be paid twice.
Transfer to payroll
Export the pay run to Excel. Its Payments sheet gives the net amount to pay per salesperson and currency, after any clawback withheld. Each payout also exports to PDF.
Who does what
What the administrator does, and what the salesperson sees
Two roles today: administrator and salesperson.
The administrator
- Connects HubSpot or imports files
- Builds plans, rules and quotas, optionally with Zeke's assistance
- Processes pending sales and works through the reconciliation queue
- Creates, approves and pays pay runs, and exports them
- Resolves disputes, with an optional ledger adjustment
The salesperson
- A personal dashboard: earned, paid, awaiting payment and owed, per currency
- Their own sales and commissions, with the plan and rule behind each
- Their quota progress and their plan's rules, read-only
- A preview of what a sale would pay under their plan
- A way to dispute a payout, and to accept their plan when required
From Excel to Evenq
What changes from the first pay cycle
The same plan and the same data, without a fragile spreadsheet between them.
With spreadsheets
- Nested formulas that only one person can maintain
- Missed deals go undetected
- Clawbacks tracked in a separate tab, or informally
- Salespeople cannot see how their compensation was calculated
- Corrections overwrite previous values
With Evenq
- Rules defined in a structured form, drafted with the agent
- Every unpaid sale enters a reconciliation queue with its reason
- Clawbacks recovered automatically from the next pay runs
- Salespeople see the sale and rule behind each commission
- Every payment and deduction recorded, with author and reason
